Your Square sales and
your books should match.

Most bookkeepers don't know how to handle Square data — so restaurant owners end up with books that don't reflect reality. Zeno Books LLC reconciles your Square deposits, tracks food and beverage costs properly, and delivers monthly financials you can actually use.

What's Included

Everything your
restaurant needs.

No guessing, no partial work. Every engagement covers the full picture — Square reconciliation, cost tracking, and monthly reporting you can hand straight to your CPA.

🍽️

Food & Beverage Cost Tracking

Food and beverage costs are tracked as COGS — separate from operating expenses — so your P&L shows your actual gross profit margin, not just a pile of categories your CPA has to sort out at year-end.

📊

Monthly Financial Reports

A monthly P&L built for restaurant owners — revenue, food cost percentage, labor cost, and operating expenses in plain language. Know your margins without decoding an accountant's spreadsheet.

💸

Payroll & Tips Coordination

Whether you run payroll through Square, Gusto, or another provider, I record it correctly in QuickBooks — including tip payouts, employer taxes, and the distinction between front-of-house and back-of-house labor.

🧾

Sales Tax Organization

Taxable and non-taxable sales tracked and separated monthly. Your books stay organized so sales tax filings aren't a scramble, and your CPA or tax preparer has what they need without digging through receipts.

🔧

QBO Setup & Cleanup

Starting fresh or inheriting a mess? I'll configure QuickBooks correctly for a restaurant — chart of accounts built for food service, Square connected, and historical issues resolved before we move forward.

Why It Matters

Square reports aren't
the same as clean books.

Square gives you sales data — but it doesn't give you a reconciled set of books. Turning that data into accurate financials takes someone who knows how Square works and how restaurants operate.

📱

The Square Reconciliation Gap

What Square reports and what lands in your bank aren't the same number.

  • Processing fees reduce every deposit below the sale amount
  • Refunds and voids hit the bank at different times
  • Tips collected vs. tips paid out must both be recorded
  • Instant deposits vs. standard deposits hit on different schedules
  • All of it has to match QuickBooks — every month
🍽️

Food Cost Is Your Most Important Number

If food cost isn't separated from other expenses, your P&L is lying to you.

  • Food and beverage purchases tracked as COGS
  • Food cost percentage calculated every month
  • Menu profitability visible in the numbers
  • Vendor invoices coded consistently
  • Waste and spoilage handled correctly
⚠️

Common Restaurant Bookkeeping Mistakes

What bad bookkeeping looks like in a restaurant:

  • Square deposits recorded as lump sums, not reconciled to sales
  • Food cost lumped in with supplies and other expenses
  • Tips not recorded, or recorded incorrectly
  • Cash sales not captured or inconsistently entered
  • Sales tax mixed in with revenue instead of tracked as a liability
How It Works

Simple to start.

From first conversation to clean books — typically within two weeks.

01

Free Consultation

30 minutes. Tell me about your restaurant, your current setup, and what's not working. I'll tell you honestly what clean books will take.

02

Custom Proposal

A flat-rate quote based on your actual situation — transaction volume, number of locations, cleanup needed. No vague packages or hourly surprises.

03

Onboarding

I get access to QuickBooks and Square, connect your bank feeds, build your chart of accounts for food service, and resolve any historical issues before we go live.

04

Monthly Rhythm

Reconciled books, food cost report, and monthly P&L — delivered every month without you chasing anyone down.

About

One bookkeeper.
Your accounts.

Zeno Books LLC is a solo practice. When you hire me, you work with me — not a rotating staff member who has to relearn your menu categories every quarter. I know your accounts because I'm the one doing them every month.

I hold a BA in Accounting and an MBA, with 12+ years of accounting management experience. I work with restaurant owners because food service bookkeeping has real complexity — Square reconciliation, food cost tracking, tips and labor — that most general bookkeepers handle poorly.

If you have a question, you hear back from me directly — not a support inbox. Your books are clean, your food cost is tracked, and your monthly P&L actually tells you something useful.

FAQ

Common questions
from restaurant owners.

Do you work with Square POS data specifically?
Yes — Square reconciliation is a core part of what I do. Your daily Square reports are matched to your bank deposits, processing fees are accounted for, and everything is categorized correctly in QuickBooks every month. The number in Square and the number in your books will agree.
Can you track food cost and COGS separately from other expenses?
Yes. Food and beverage costs are recorded as cost of goods sold — not lumped in with paper goods, supplies, or utilities. That means your P&L shows your actual gross profit margin, and you can see your food cost percentage every month instead of guessing.
We collect cash tips. How does that work in the books?
Cash tips and card tips are handled differently and need to be recorded correctly. I track tip collections and tip payouts so your books accurately reflect what was received, what was distributed, and what's owed in employer-side taxes — without creating confusion for payroll or your CPA.
How does this work if you're not local?
Everything runs through QuickBooks Online, Square's reporting portal, and secure document sharing. I work remotely with all of my clients — no in-person meetings required. If you have a question, I'm reachable by email and you'll hear back from me directly, not a ticket queue.
Our books are behind and a bit of a mess. Can you still help?
Yes. I offer cleanup engagements to bring books current before establishing a monthly routine. I'll give you a clear scope, timeline, and flat-rate quote before we start — no open-ended hourly billing while I sort through the backlog.
What does the monthly deliverable look like?
Reconciled bank and Square accounts, categorized transactions, food cost tracking, and a monthly P&L in QuickBooks Online. Full access for you and your CPA at any time. Every month, without you having to ask.
